Providing Pro Rates for membership

Modified on Fri, 26 Apr, 2024 at 9:47 AM

To provide pro rate in iMIS you will need to setup pro rating rules, assign the rules to each membership billing product and modify the billing cycles so that last year dropped members receive full pricing rather than prorate. Please note there are different steps to setting up proration for tiered and non-tiered membership pricing.

Setup Pro Rate Rules - for NON-tiered membership pricing (additional information located here: Defining prorating rules (imis.com))
1. in iMIS, go to the Membership tab, select Prorating Rules

2. Create a new pro rating rule

3. for each month specify the multiplier you'd like to discount from the total price

example if the multiplier for month 4 is 1.0 then the price for April only will be full price

example 2; if the multiplier for month 10 is 0.5 then the price for October only will be half price

4. once the pro rates are configured, select save

*Note: This will NOT work for memberships with tiered pricing options (Full Membership/Team) For these you will need to set the pricing rules in the special pricing options under the membership product itself and modify the special pricing expression - See (setting prorate pricing for tiered memberships below)

Assigning the pro rate rules to billing products - for NON-tiered membership pricing

to activate the rules you just created you have to assign them to their corresponding billing product.

1. in iMIS, go to the Membership tab and select billing products

2. select the billing product/ membership type you'd like to apply a pro rate rule to

3. under the Pro rate rule dropdown, select the corresponding pro rate rule you'd like to apply
example:4. once you've selected the pro rate rule, select save at the bottom.

Forcing current year dropped members (3/1 dropped members) to pay full price

This enforces full price for members who have allowed their membership to lapse

1. In iMIS, go to the membership tab then select billing cycles

2. select the billing cycle you'd like this rule to apply to and scroll down to "other billing instructions"

3. locate the "Treat rejoins within x months of expiration as a renewal" option.

4. enter 9 in for the box, this will force people with expired memberships between Dec 31 (of previous year) and October (of current year) who've allowed their membership to lapse past the drop date to pay full price and not receive pro rated pricing.

5. click save

Setup Prorated pricing for tiered membership pricing

For memberships with tiered pricing options (Full - retired / Full - Fellow / Full - Regular)

Go to Membership > Billing Products and select the tiered pricing item

under the special pricing rules, modify each rule to set the PRORATE pricing option to the updated price for the current year
Complete this for each membership tier/level to ensure up to date pricing for all tiered membership products

Modify field expression to enforce prorated pricing for tiered membership pricing

Locate and modify the AASM_Dues_Special_Pricing business object

Select FullMemberRate and then Expression builder

from there - ensure the current year logic is up to date for which member categories/months and dates correspond to the correct pricing. One field that will NEED to be changed is the date field highlighted below. This needs to be set to include customers with a paid thru date from a potential reinstate member (1 fully lapsed membership year) to allow that customer to obtain prorated pricing.
